Provider Onboarding (First 30 Days)

Your first month with Active Aligners, step by step, from signup and training through to your first successful case delivery. Most providers submit their first case within a week and feel confident by case #3.

Welcome to the Active Aligners network. Your first 30 days are about building confidence, yours and your patients’. You’re not figuring this out alone: the path is training → first case → support → growth.

YOUR FIRST 30 DAYS

Week 1, Foundation

Days 1 to 2: Platform access and training. You receive portal login credentials, access to the self-paced online training course (~2 hours), digital workflow tutorial videos, and a WhatsApp support group. Complete the course, watch the submission workflow, set up scanner integration if applicable, and download the patient consultation materials. Don’t try to memorise everything, the platform guides you through each case.

Days 3 to 5: Marketing and patient communication. Download the practice marketing kit (posters, brochures, social templates), patient FAQ handouts and before/after photo guidelines; add Active Aligners to your website (we can help) and brief your reception team. Start with your existing patients, they already trust you.

Days 6 to 7: First patient consultation. Cover a smile assessment, treatment timeline (6 to 8 months on average*), and take a digital scan or impressions with consent forms and clinical photos ready. Patients love the 3D treatment-plan preview, it makes the outcome tangible.

Week 2, First case submission

  1. Log into the portal and click “New Case” → enter patient details
  2. Upload scans (STL files) or impression shipping info
  3. Fill out treatment goals and notes
  4. Submit, your treatment plan is ready in 5 to 7 business days

Our team reviews tooth-movement feasibility, IPR requirements, attachment placement, treatment duration and your clinical notes. If you’re unsure about treatment goals, just describe what you see and what the patient wants, our planners propose the best approach and you approve or modify it. When the plan arrives (a 3D simulation with the aligner stage breakdown, IPR/attachment specs and duration), review the movements stage by stage and approve or request changes before manufacturing begins. Most first-time providers request 1 to 2 modifications, that’s normal.

Week 3, Patient start and delivery

Aligners arrive 7 to 10 days post-approval. Schedule a 60-minute appointment to:

  • Review the treatment plan with the patient (show the 3D simulation)
  • Complete IPR as specified and bond attachments using the provided template
  • Insert the first aligner, check fit and comfort, and demonstrate insertion/removal
  • Provide the aligner case and care instructions and schedule the 8-week check-up
  • Give the patient all aligner sets, or stage delivery (your choice)

Patient instructions: wear 22 hours/day (removing only to eat, drink and brush), change aligners every 7 to 14 days per your instruction, clean with a soft toothbrush and soap, use chewies daily for proper seating, and contact you if the aligners don’t fit or cause pain.

Week 4, Monitoring and support

At the 8-week check (in person or digital), assess tracking, check attachment integrity, verify wear compliance and confirm progress. Red flags: aligners not seating fully, attachments falling off repeatedly, pain beyond the first 48 hours, or multiple lost aligners. Contact us if aligners aren’t tracking after two stages, for compliance concerns, unexpected movement, or a mid-treatment modification. By the end of month one you should have 2 to 3 active patients, confidence in the digital workflow, and a clear consultation process, most providers grow to 5 to 8 cases by month three and a routine revenue stream by month six.

Support and resources

You have WhatsApp support (fastest via the WhatsApp provider group), case-specific messaging in the portal, weekly webinars for case review and questions and answers, treatment-planning guidelines, clinical protocol videos and the marketing toolkit. We’re here for treatment-planning questions, technical support, case modifications, patient communication scripts and growth advice. Every experienced provider started exactly where you are, you’re expected to start, learn and grow, and we’re here to make sure that happens.
